Medical Case Manager/Secretary

Starting Wage: $17.60/hr (+DOE)

GENERAL PURPOSE

This combined role for a Medical Case Manager/Secretary merges high-level administrative efficiency with experience-based advocacy and empathetic client care. This hybrid professional serves as a vital bridge between clinical teams, social services, and individuals navigating recovery or complex mental health and/or medical journeys. Work hours are typically Monday through Friday from 8 a.m. to 5 p.m. but may vary slightly depending on provider schedules. SUPERVISION RECEIVED Works under the direct supervision of the Medical Program Manager. Includes a full benefit package with medical, dental, vision, paid leave, paid holidays, retirement match, and enrollment in the Utah Retirement System.

Case Management & Resource Navigation 

1. Resource Coordination: Connect clients to essential community services such as housing, employment, transportation, and additional treatment options. 

2. Case Support: Assist the medical team with treatment or recovery plans that align with the client's identified goals. 

3. Medication Assistance: Assist clients with self administration of daily medications as assigned by the Registered Nurse (RN). Check in medications from the pharmacy if RN is not available. 

4. Community Outreach: Represent the program in teams and with community partners to identify and engage individuals who may benefit from services. 

5. Crisis Management: Identify signs of distress and provide immediate emotional support or intervention as needed. 

Medical Secretarial & Administrative Functions 

6. Office Operations: Manage office duties including greeting patients, answering multi-line phones, and handling mail or faxes.

7. Schedule Management: Manage a complex medical schedule for prescribers and nurses. Coordinate, set up, and confirm appointments for clients with medical providers and nurses. 

8. Records & HIPAA Compliance: Maintain accurate electronic health records (EHR), process referrals, and ensure strict confidentiality of all client information. 

9. Billing Support: Verify insurance eligibility, assist with basic medical billing tasks, chart audits to ensure accuracy and compliance with treatment plans. 

MINIMUM QUALIFICATIONS 

1. EDUCATION AND EXPERIENCE 

A. High School Diploma or GED; one to two years of college education in psychology, social work or related field is preferred,

AND 

B. Three to six months experience working in a medical office or social service program, 

OR 

C. Equivalent combination or education and related experience. 

2. LICENSES AND/OR CERTIFICATIONS 

A. Valid motor vehicle driver's license (equivalent to State of Utah Class D) 

B. Able to pass a Criminal Background Check (BCI) 

3. ESSENTIAL SKILLS AND QUALIFICATIONS 

A. Certification: Certified Case manager credentials, which involve formal training in ethics and recovery principles. 

B. Technical Proficiency: Strong skills in electronic health record (EHR) systems (e.g., Epic, AXIOM) Google Suite and Microsoft Office fluency are required. 

C. Communication: Exceptional verbal and written communication skills to liaise between medical staff, treatment team members, community partners, families, and diverse client populations. 

D. Personal Attributes: High stress tolerance, dependability, empathy, patience, and the ability to maintain professional boundaries. 

4. SPECIAL QUALIFICATIONS 

A. Complete all required training by their deadlines, including CPR/First Aid & AEGIS 

B. Certification or ability to be certified as a Case Manager 

C. Experience with electronic health records (EHR), documentation, and medical terminology 

D. Physically able to lift up to 30 lbs., climb stairs, transport clients, etc.
